Student Responsibilties
Employer Responsibilities
  • Student employees have the responsibility to complete the proper payroll documents immediately upon being hired, (i.e., Form I-9, Tax Forms, Direct Deposit Forms, etc.)


  • FORM I-9

    • U.S Citizens: You must complete Section 1 of Form I-9 on or before the first day of work. This can be done by visiting www.newI9.com and inserting the employer code 11472.

      Afterward, you must visit the Office of Student Employment Services (SES) to present documentation for completion of Section 2 within three (3) business days from the first day of work for pay. Should you fail to comply, you may be suspended from work immediately.

    • International Students and Permanent Residents: You must complete Section 1 of the Form I-9 on or before the first day of work.

      • For students who have a social security number issued by the U.S. Social Security Administration, you can complete Section 1 by taking the following steps:
        1. Sign on to  www.newI9.com
        2. Insert employer code 11472 and “continue”
        3. Enter the text indicated in the box and “continue”
        4. Complete Section 1 of the Form I-9
        5. Select “Non-U.S. citizen faculty, staff, and student” as location
        6. Review the information for accuracy
        7. Complete the agreement section
        8. Click “continue”
        9. Next

        10. Go to the OISSS web site at ww2.jhu.edu/isss/Services
        11. See STEP 1 to print the Data Collection Form for your employer to complete.
        12. Take the completed Data Collection Form along with evidence of identity and work authorization to OISSS to complete Section 2, Garland Hall, room 135.

      • Students who do NOT have a social security number issued by the U.S. Social Security Administration must visit the OISSS to complete Section 1.

  • Student employees have the responsibility to report to work on time.


  • Student employees have the responsibility to adhere to all hiring department and university policies and procedures. For a complete list of legal issues and university policies, click here.


  • Student employees have the responsibility to dress properly for the position or the area that they are working in.


  • Student employees have the responsibility to notify their employer if they are unable to work. If their class schedule/lab changes and it affects their appointed work schedule, they have a responsibility to notify their employer as soon as possible to request time off. If they cannot work due to illness or an emergency, they have a responsibility to contact their employer as quickly as possible.


  • Student employees have a responsibility to learn their jobs and perform at an optimum level.


  • Student employees have a responsibility to pick-up their paychecks on a regular basis.


  • Student employees have a responsibility to notify their employer of any changes in their enrollment status.


  • If the student employee has work-study funding they have a responsibility to obtain an FWS Authorization Form from Student Financial Services and submit it to their employer. They also have a responsibility to notify their employer of any changes in their work-study award and to inform their employer if they are or will be working for more than one on-campus job.
