  • Criteria for Visiting Student Status

    These are students who have been invited from other colleges, universities, and high schools to work at Johns Hopkins University and who meet specific criteria. As such, they must adhere to all rules/policies that apply to all JHU student employees, excluding FICA Tax and Work Schedule. Visiting students ARE subject to FICA Tax withholding and may work up to 37.5hrs per week.

    The criteria are:

    1) Registered in a full time program at a high school, college or university (other than Johns Hopkins University) during the normal academic year (excluding summer), and

    2) Followed a faculty member to Johns Hopkins University in order to complete their research or degree requirements,
    OR
    Responded to a JHU student internship/research position advertisement submitted to their college or university. This student internship/research position must require the student to have a specific major or must complement the student's academic focus,
    OR
    Have been selected to participate in a summer program or formal outreach program operated and funded by a department in the University,
    OR
    Current high school or college student invited by a faculty member to work in his or her research lab in conjunction with the student's academic concentration as advertised, and

    3) Received a letter of appointment or invitation from the appropriate Office of the Dean (i.e., Dean of Arts & Sciences, Dean of Engineering, Dean of Student Life).

  • The Appointment Letter

    The visiting student's appointment must be for a defined period of time, (ie., summer semester) not to exceed an academic year. Students who are expected to work beyond their original period of appointment or invitation must receive a revised letter signed by the appropriate Office of the Dean.

    The appointment letter must include the name of the high school, college or university where the student is registered in a full time program as well as the student's status (i.e. graduate, undergraduate, etc).

    The letter must clearly define why the student has been deemed 'visiting', (i.e., followed Dr.Faculty from XYZ University to complete...; responded to an advertisement for the Career Counseling Summer Internship Program...; has been selected to take part in the Howard Hughes Summer Research Program..., etc.

    The letter must also clearly state the salary and FTE for the defined period of the appointment, for example: 'Your salary for the period will be $20,585 which is based on an annual rate of $41,170'.


  • Paying Visiting Students

    In order to pay a visiting student you must first create a Visiting Student Position followed by an ISR New Hire form. An I-9 form and tax forms may also be required depending on the type of money paid (i.e., Salary vs. Fellowship).

    Please remember, when creating an ISR New Hire form you must select Student Employment Services as Approver 2 from the drop-down box. Also, the date on the payroll document must match the appointment dates/salary exactly; unless otherwise noted in the Comment section.

    Visiting students are subject to FICA tax withholding.

  • J-Card for Visiting Students

    Visiting students may obtain a J-Card. To get a JCard their hiring department MUST complete a JCARDS for Visiting Students Form. This form can be downloaded, click here (pdf format). Please provide the Cost Center and SAP GL Account number on all visitor forms if library privileges are to be given. For questions, please call the J-Card office at 410-516-5121. Once complete, the form must be sent to the office of ID Card Services, afterwhich the student can visit ID Card Services to obtain their J-Card. Please make sure that all visiting students go to the Registrar's Office BEFORE going to ID Card Services - the registrar MUST first put the student in the USIS System before the card can be processed.

    Please Note: Visiting students invited to work at JHMI or other Hopkins institution must be processed through the appropriate Human Resource or business office. For further information regarding visiting students, contact Student Employment Services at 6-8421.
