SAP Do's & Don'ts

DOs....
  1. When hiring a Homewood student, regardless of where the student works within JHU, you must select Student Employment Services as the Approver 2.


  2. What to include in the Comment Section of an ISR:
    • For Non-Resident Aliens, you must include the visa issue/expiration date.
    • Type of Federal Work Study (FWS Codes).
    • Reference to Concurrent Employment.

  3. Make sure that ALL fields on the ISR are complete; incomplete and/or incorrect ISR documents will be rejected thus causing a delay in payroll.


  4. Verify that the position being used is VACANT -AND- that the attributes of the position fully match the student being hired. For example: Undergraduate/Weekly; Non-Employee/Semi-Monthly (Fellowship); etc.


  5. Immediately notify Student Employment Services (SES) via EMAIL if you have submitted an Off-Cycle Check Request (OCCR) this will alert SES that the corresponding ISR must be moved to the top of their 'approval' list.



DON'Ts....

  1. ISR Position Create forms do NOT require an Approver 2. Thus, when creating positions for student employees leave the Approver 2 field blank, selecting Student Employment (Pam Arrington -OR- Sharrie Patterson) will result in a delay when trying to hire a student into that position.
