The U.S. Citizenship and Immigration Services requires a Form I-9 to be completed by all new student employees who are paid wages. This refers to students who are new to the payroll system (SAP) and/or students who have a break in service, and who have been terminated from payroll.

New students must provide both identity and eligibility to work within (3)three business days following his or her first day of employment; failure to do so will result in termination.

Students who are U.S. Citizens who have had a break in service and are being rehired within three (3) years of the date that their orginial I-9 Form was completed, and who are still eligible to be employed on the same basis as previouly indicated on their orginial I-9 Form are NOT required to complete a new I-9 Form. These students can visit the Office of Student Employment Services to have their original I-9 Form re-verified. International students and permanent residents who are being re-hired due to a break in service must complete a new I-9 Form, please see International Students and Permanent Residents instructions below.

Fellowship Payments

Please note, US citizens who receive 'fellowship' payments are not required to complete the Form I-9 unless they receive wages in addition to the fellowship. This rule does not apply to international students who receive 'fellowship' payments.

  • U.S. Citizens:
      Student Employment Services completes the Form I-9 for all student employees who are U.S. citizens and who are registered full-time on the Homewood Campus.  Immediately upon being hired, ALL new student employees must report to Student Employment Services, Garland Hall, Room 72 to complete their Form I-9.  Please be sure to bring the necessary documentation required to complete the form.  For a complete list of acceptable documentation please click here

      Homewood students employed by JHU but working out of state may have their I-9 completed at by the appropriate authority in another college or university in that state; the original document must be forwarded to our office for processing.

  • International Students and Permanent Residents:
      The Office of International Student and Scholar Services (OISSS) must complete the Form I-9 for all international student employees and permanent residents. Their office is located at 3103 N. Charles Street.

      ***PLEASE NOTE***
      A social security card and completed Form I-9 is required for employment.  In order to obtain a social security card and complete the Form I-9 international students in J-1 or F-1 status MUST secure a letter of employment from the employing department and present that letter to the OISSS. The OISSS will then advise the international student on the appropriate procedures to obtain a social security card.

      Use of an H-1 Visa requires that Johns Hopkins University be the petitioner (sponsor) of the visa and the student is considered an employee, and is on salary with the university. Fellowship payments are allowed ONLY if the student is being paid a SALARY simultaneously and the payment is from Johns Hopkins University.       TN visa Trade NAFTA: Professional from Canada or Mexico who enter the U.S. under the NAFTA agreements. May engage in full-time employment. Permitted to study incidental to status. A Post-doc using TN is fine as Researcher is an occupation listed on the NAFTA list. (This statement is provided by the JHU Office of Student and Scholar Services, 3/4/08)
